AFSC works on behalf of American Quakers to build peace with justice in
Africa and around the world. AFSC has been active on the African
continent for over 50 years, and was accredited to work in Burundi in
2005. AFSC focuses on conflict prevention and peacebuilding, social
justice and humanitarian assistance, and its geographic priorities are
chosen according to the impact of conflict and potential conflict.Burundi
was selected as a key country of work because of the more than a decade
of conflict in the country which was of ethnic and political origins.
Thousands of Burundians lost their lives, many were forced to flee from
the country to neighbouring countries and some went far away, those who
could not run away were forced to be internally displaced and others
joined rebel groups. This series of cyclical crisis have had a
significant impact on the socio-political, economic, institutional and
environmental life of the country. Gradually as the country began to
gain stability, most of the Burundians who were refugees in other
countries started returning home. The government adopted a national
strategy for the reintegration of these war affected persons in 2010 and
in 2012, it again adopted the Poverty Reduction Strategy Paper
(PRSP-II, 2012 – 2018). To support the government’s efforts, AFSC has
working through different strategic plans and the most recent one, 2014 –
2018 was crafted taking into consideration the national priorities and
the internal strategic directions of the organization. In order to
deliver the results for which AFSC intended, the organization has worked
in partnership with government institutions, civil society
organizations, the United Nations System and the international
community. The organization’s advocacy process goes beyond the country
level to the regional and international levels. AFSC’s work has
contributed in reducing violence in the country through its Dialogue and
Exchange Program and through improving the livelihoods of communities
and restoring their human dignity.Summary of responsibilities:The
Administrative Assistant position will be an integral part of the AFSC
Burundi team with a specific lens on communication, supporting relations
with partners and overseeing all secretarial duties. S/he will also
work closely with other AFSC programs in Africa, in Philadelphia and the
Quaker UN Office in New York through regular facilitation of
communication with colleagues. The Administrative Assistant will also
support report writing, crating situation analysis and preparation of
publications and developing strategy for external communication. Key Relationships:   * Internal: All staff   * External: Service Providers, Partners, National AdministrationEssential Functions: * Ensures the effective handling of all communications;* Translates
all communications into English (and vice versa); English being the
common language used at AFSC International Program and Regional Offices;* Handles the Petty Cash Account of the organization and prepares a weekly report to the Finance and Administrative Officer; * Manages the diaries of the Country Representative and advise in a timely manner on conflicting schedules; * Screens and relays incoming and outgoing calls;* Discrete handling of all internal and external correspondences;* Takes and file minutes of all meetings;* Creates and maintains a good filing system;* Attends to the comfort of visitors;* Arranges meetings and other important engagements;* Supports
the production of information and articles on projects / programs
achievements and ensure their integration into the AFSC website in
consultation with the department of communication in Philadelphia.
Assist in developing strategy for external communication and engaging
with media; * Supports AFSC's relationships with its partners –
including Quaker groups, grassroots peace groups and other civil society
organizations – Assist in policy analysis and formulating advocacy
plans for AFSC's partner groups, including consulting with Quaker United
Nations Office and other regional AFSC policy and advocacy staff;* Assists
in designing and organizing Dialogue and Exchange Programs (these
include activities such as training workshops, peace tours or learning
events for people from two or more countries and also facilitating the
participation of national counterparts for exchange visits to other
countries); * Attends other work related requests as may be requiredQualifications* A First Degree in Management, communication, or related field. A Master’s Degree in related fields will be a plus.* A
minimum of 3years relevant work experiences in a reputable organization
is needed. Working experience with an international organization is an
advantage* This person must be bi-lingual (written and spoken English & French)* Excellent computer literacy in Microsoft Word, Excel and Email communications. Database skills is an advantage * Possess
excellent communication, interpersonal, organizational skills. This
person must also be attentive to detail, be a good team player, be able
to work with minimum supervision, adapt and cope with work pressure.* This person must be at least 28 years old and not more than 35 years by 1st October 2014
